Collection of personal information

Brock University collects personal information that is required to carry out its mandate and to perform related administrative functions.

To protect the privacy of your information, we will make reasonable attempts to verify your identify when contacting us before we release information in person, by email or by phone. Please see our procedure below.

We take your son or daughter’s privacy seriously. We’re happy to provide you with general information about our programs. However, specific information will not be discussed with a third party unless we have a signed waiver from your son or daughter.

To submit a waiver for third-party access, the student must follow these instructions:

  1. Go to brocku.ca, sign in then click on Student Self Service.
  2. Select ThirdPartyAuth under Additional Info link.
  3. Click New and complete the form.

This waiver expires at the end of each Fall/Winter session. A valid student ID and password are required. For more information about the student ID, visit Information and Technology Services.

Assigning authorization to release information to third parties:

OSAP applicants can assign consent to third parties by completing our third party release of information form.

To discuss details of OSAP applications, we require the student to present valid government-issued photo identification and proof of social insurance number. For awards and other academic inquiries, we require valid photo ID. If a student has assigned consent to release information, we require equivalent identification from the assigned third party.

Please note: Our student service counter is a public space and is not suitable for in-depth discussions about confidential or personal circumstances. If you wish to speak to your financial aid officer privately, please contact us to arrange an appointment.

We direct students to use their Brock-assigned email account to verify identity, although we will also serve applicants who email from the address included on their application for admission or their OSAP application. We do not release academic information, grades, social insurance numbers, loan assessments, or other details of funding via email, although we will provide directions and application status updates upon request. Students are directed to review OSAP information using the OSAP website or by visiting us in person.

We will ask for the student’s social insurance number, name, and a random security questions based on the students’ academic program or OSAP application information. We will discuss details of the application via phone, but never release SINs or other personal information except for what is disclosed through the security questions or as part of an update or review.

Brock University:

  1. Will not release information about awards that are based primarily on financial need;
  2. Will release my name, program and year of study to the donor of donor-funded awards;
  3. Will release my name, program and year of study of merit-based awards to my academic department, and to the Office of Development and Donor Relations for events and other promotional purposes. This is a condition of accepting a merit-based award as outlined on SAFA’s award and bursaries web page.
