Application Documents

This is a list of documents that may be required for your application to the Faculty of Graduate Studies. Please be advised that you must only upload the documents that are applicable to your program. We encourage you to review the requirements of the program that you are interested in for these specific documents. All academic and academic-related documents received become the property of the Faculty of Graduate Studies and Postdoctoral Affairs and will not be returned. Please do not submit any documents that you are unable to reorder from your academic institution.

All application materials submitted to Brock University, including transcripts and degree certificates, become University property and will not be returned. Do not submit documents that cannot be re-issued by your institution.

Document Upload Instructions


Need help uploading your documents? Follow these simple instructions to ensure your application is processed in an efficient and timely manner.

Please note: All materials submitted to Brock University, including transcripts and degree certificates, become the property of the University and will not be returned.

  1. Log in to your Brock Portal. Your login details will have been emailed to you after submitting your application.
  2. Navigate to the Applicant & Student Self-Serve tab and locate the Document Status section.
  3. Click the help icon to the right of each upload button for details about each required document.
  4. Use the Upload Document link beside each document slot to attach your file (PDF only, maximum 10MB). Each document slot accepts a single file – please combine multi-page documents into a single PDF before uploading.
  • Files must be uploaded in PDF format only.
    • Convert other file types before uploading (see How to Convert Files to PDF).
    • Ensure files are complete, legible, and properly oriented before uploading.
  • The maximum file size is 10MB per PDF document.
    • If your file exceeds 10MB, reduce the resolution, use black and white or greyscale, or compress the PDF using an online tool.
  • Keep file names short and avoid brackets, quotation marks or special characters.
  • Upload one PDF per document slot; combine multi-page documents into a single file. Transcript documents should include all grading scales, legends and translations.

Applicants cannot remove or replace a previously uploaded document themselves. To request a change, email [email protected] with the subject line: Request to Remove Uploaded Documents. Include your campus ID, name, and the documents to be removed. Please do not attach files to this email.

Once removed, you will be able to upload an updated version.

Common Supplemental Documents


The document types below are common to many graduate applications. Please refer to your graduate program page for details on which supporting application documents are required for your specific program. Required documents will appear with an Upload link in the Documents area of your application portal.

Transcripts

Academic transcripts from each post-secondary institution attended (past and currently in progress) are required. Transcripts must be up-to-date and include all courses and marks, along with the transcript legends/keys/grading scales that are usually printed on the back of the transcript.
If the transcripts are not in English, a certified translation must also be uploaded with the original language documents. Institutions within Canada do not require a translation.

During application:

  • During the application process, transcripts from all previously completed and in progress post-secondary studies (universities and colleges) are required to be uploaded by the applicant. Transcripts must be current-dated, include the student’s full legal name, student ID number, full name of institution attended and all coursework completed and grades earned. All transcripts must include the institution’s grading scale.
  • If you attended a postsecondary institution outside of Ontario, transcripts from all previously completed and in progress post-secondary studies (universities and colleges) are required to be uploaded to your Brock portal AFTER you have submitted your OUAC application.
  • Note: If you attended a postsecondary institution in Ontario, you must order your transcripts via OUAC at the time of application. If you attended a postsecondary institution in Ontario, your request can only be completed if you have corresponding entries in the Academic Background section of your OUAC application.

If you have received and accepted an Offer of Admission:

  • If you receive an offer of admission, official documents will be requested. Documents are considered official if we receive them directly from the issuing institution. If the student elects to deliver official documents to Brock, they must be received sealed in the originating institution’s stamped envelope and not opened prior to Brock receiving the documents. Transcripts sent digitally directly from the issuing institution are also considered official.
  • Note: If you have attended Brock University, we will obtain and upload your final degree conferred Brock transcript for you after you have been admitted.
  • Transcript must be in the original language and include a certified translation if the transcript is not in English.
  • When the official transcript is issued in French by a Canadian institution where the official language of instruction is French, no English language translation is required.
  • If a transcript does not state the awarding of degree and date degree conferred, a certified copy of the degree certificate should also be sent to the Graduate Studies Office (or attached to the transcripts). It is the student’s responsibility to be aware of what is stated on the official transcripts issued by your home institution.
  • Final Chinese documents must include transcripts, graduation diplomas and degree certificates in Chinese, all with official English translations and sent directly from the home institution.
  • Final Saudi Arabian documents (transcripts and degree certificate) must be sent directly from the home institution or directly from the Saudi Arabian Cultural Bureau, Ottawa.
  • If your university issues only one original copy of transcript/degree certificate, ask your home university to:
    • verify that the photocopy of your original academic record is consistent with their records
    • attest that the copy is a true photocopy and stamp it with an official university stamp
    • put the attested, stamped photocopy in a sealed envelope endorsed by the Registrar
    • mail the sealed, endorsed envelope directly to the Graduate Studies Office:

Most programs will require applicants to submit a personalized letter outlining your academic interests, research goals, career plans, and any relevant experience. Requirements in terms of content and length vary – please refer to the relevant program page for details.

Most graduate programs will require reference reports as part of your application package. Your referees should be able to speak to your academic, research and/or professional abilities.

As part of your OUAC application, you will provide contact information for your referees. When Brock receives your application from OUAC, we’ll contact your referees with instructions. Referees will submit reference forms directly to your application portal via Brock’s electronic referee system. Applicant-submitted copies will not be accepted.

A current summary of your academic and professional background.

  • Resume: Typically a concise overview of education and relevant experience.
  • CV: A more detailed record including education, employment, research, teaching, awards, and publications (if applicable).

A sample of your written work that demonstrates your academic writing ability, typically in the form of an academic paper. Required for select programs only – please refer to the relevant program page for details.

Graduate Student Internal Entrance Scholarship/Award Application

At the time you submit your application to graduate studies at Brock University you are required to complete and submit the Graduate Student Internal Entrance Scholarship/Award Application which will appear on your applicant portal account as a document required for admission.  After you have submitted your graduate studies application, instructions to activate your applicant portal account will be sent via email.

Ensure that you have pop-ups enabled in your web browser, then use the “Go To Form” button next to the “Graduate Student Internal Entrance Scholarship/Award Application” document on your portal account, to complete the required form (you must have pop-ups enabled for the form to open).

Please note that you are required to submit the Graduate Studies Internal Entrance Scholarship/Award Application in order for your admission application to be considered complete.

If you do not wish to be considered for an Internal Entrance Scholarship/Award, please indicate ‘No’ on the application and click submit.

Your completed application will be reviewed by the graduate program to which you are applying.  If you are offered an Internal Entrance Scholarship/Award it will be listed as a funding item in your offer letter.

The Graduate Management Admissions Test (GMAT) is required for applicants to:

  • Master of Business Administration (MBA)
  • Graduate Diploma in Business Administration (GDBA)
  • MSc in Management

Alternative Options:

  • A Graduate Record Examination (GRE) will also be accepted in lieu of the GMAT.
  • Applicants to the MBA and GDBA may request a waiver of this requirement by submitting the GMAT/GRE Waiver Form in place of the GMAT (waivers not available for the MSc in Management).

Some graduate programs require or recommend a Graduate Record Examination (GRE) as part of their application.

MA and PhD Psychology:

  • The GRE General and Psychology Subject Tests are required for applicants without a background in Psychology or a related field.
  • The GRE General Test is recommended (but not required) for MA and PhD Psychology applicants with a background in psychology or related field such as neuroscience.

MBA, GDBA, and MSc in Management:

  • The GRE General will be accepted in place of a GMAT for the Master of Business Administration (MBA), Graduate Diploma in Business Administration (GDBA), and MSc in Management programs. MBA and GDBA applicants may request a waiver of this requirement by submitting the GMAT/GRE Waiver Form (waivers not available for the MSc in Management).

Other programs:

  • To strengthen their application, GRE scores may be requested from individual applicants to other graduate programs, e.g. MSc Mathematics and Statistics, MSc/PhD Chemistry, PhD Intelligent System and Data Science.

Instructions:

  • Generate a PDF of your GRE Examinee Score Report from your ETS account. Upload the PDF to your Brock Portal. Please do not mail hard copies.

Additional Documents Required for International Applicants


Test

An official English Language Proficiency Test (please refer to English Language Proficiency for a list of acceptable tests prior to uploading). Print-outs from self-service websites are not acceptable. Tests that are not listed on this page will not be accepted.

  • The test uploaded must have been taken within the last two years (tests are only valid for two years from the date the test was taken).
  • If multiple English Language Proficiency Tests have been taken, please upload only the most recent.
  • The English Language Proficiency Test uploaded MUST correspond with the test scores you declare on the English Language Proficiency (Self Report) form.
  • Please do not request a hard copy of the test results be sent to Brock University. Please have the report sent directly to yourself and proceed with uploading a scanned copy to your Student Portal.

Language Schools

  • Completion of Program must be within two years of the date of application.
  • Please upload a copy of your completion certificate. If your language program is still in-progress, upload an enrolment certificate instead.
  • Please do not send an enrollment and/or completion certificate to Brock University. Please have the report sent directly to yourself and proceed with uploading a scanned copy to your Student Portal

Self Report

Applicants who are required to upload an English Language Proficiency Test document are also required to complete an electronic English Language Proficiency Self Report form.

  • Ensure that you have pop-ups enabled in your web browser, then use the “Go To Form” button next to the “English Language Proficiency (Self Report)” document on your portal account, to declare the test scores listed on your English Language Proficiency Test or request a waiver (you must have pop-ups enabled for the form to open).
  • Test scores declared MUST match the scores on the English Language Proficiency Test that has been uploaded.
  • If you are applying using one of the accepted Language Schools as proof of English proficiency, please enter values of “0” in the reporting of individual scores.

Waiver Letter

An applicant who has requested an English Language Proficiency waiver via the English Language Proficiency (Self-Report) form, must upload a letter outlining your justification for us granting you a waiver; as well as, any supporting documentation that supports your justification and will aid us in assessing your request. This may include proof that English was the language of instruction at your university(s), an expired English Proficiency test score, etc.

  • You can monitor the status of your request via the “Go to Form” button next to the English Language Proficiency (Self Report) document.
  • As waivers are not guaranteed and very few waivers are granted, it is recommended that all applicants for whom English is not their first language, upload an English Language Proficiency Test. If your waiver request is denied you must upload an English Language Proficiency Test to be considered for admission.

Graduation Certificates

An official graduation certificate is issued by the institution. If the graduation certificate is not in English, a certified translation must also be uploaded with the original language certificate. The original and English translation must be included in the same PDF.

If you have received and accepted an Offer of Admission:

  • An official graduation certificate (received in a signed/stamped and sealed university envelope directly from the institution).
  • If the graduation certificate is not in English, an original certified translation (signed and stamped) must also be included with the official original language document.

Degree Certificates

An official degree certificate, showing confirmation of degree awarded and date of graduation, issued by the institution. If the degree certificate is not in English, a certified translation must also be uploaded with the original language certificate. Both the original and English translation must be included in the same PDF.

If you have received and accepted an Offer of Admission:

  • An official degree certificate, showing confirmation of degree awarded and date of graduation (received in a signed/stamped and sealed university envelope directly from the institution).
  • If the degree certificate is not in English, an original certified translation (signed and stamped) must also be included with the official original language document.

Provincial Attestation Letter (PAL) Request Form

NEW: Starting January 1, 2026, a PAL is no longer required for international students applying for a study permit for a graduate degree program at the master’s or doctoral level at a publicly designated learning institution.

If you are an international student applying for another type of graduate program type (e.g. Graduate Diploma), you may be required to submit a PAL with your study permit application. If so, a PAL request form will be added to your application. If a PAL is issued, the authorized letter will be available on your my.brocku.ca portal. Immigration Status

Proof of immigration status is only required if you are offered and have accepted admission.

  • International students who are offered and have accepted admission must upload a scanned copy of their valid Study Permit.
  • Permanent Residents of Canada who are offered and have accepted admission must upload a scanned copy of their Permanent Resident Card (both sides)  or confirmation of Permanent Residency. See Immigration for more details.

Sponsorship Pre-Approval

An official pre-approval/preliminary sponsorship letter issued by the country/organization providing sponsorship.

Sponsorship Confirmation

An official sponsorship confirmation letter is only required if you are offered and have accepted admission. This confirmation letter should include specific details about the funding/sponsorship that is being provided by the country/organization for the duration of your study at Brock University.

 Documents Required for Postdoctoral Scholar Candidates


Documents must be directly sent by your institution. Electronic copies can be sent to [email protected]. Alternatively, you can send them in sealed envelopes issued by your institution to the address listed below. These envelopes must be received sealed in the originating institution’s stamped envelope and not opened until Brock receives them.

If your university issues only one original copy of transcript, ask your home university to:

  • Verify that the photocopy of your original academic record is consistent with their records
  • Attest that the copy is a true photocopy and stamp it with an official university stamp
  • Put the attested, stamped photocopy in a sealed envelope endorsed by the Registrar
  • Mail the sealed, endorsed envelope directly to the Graduate Studies and Postdoctoral Affairs Office.
