Can I get access to Brock systems (Brock DB, Brightspace) before my start date?

A: Yes, access to certain Brock systems is available before your start date. Below is a summary of access to Brock systems you will receive before your start date:

  • Access to key IT systems outside of Workday has been provisioned by ITS for up to 4- weeks prior to the contract start date, provided the hiring process within Workday is complete.
  • Access to Workday will occur at 12:01 am on the employee’s start date.

Departments are reminded to add the Instructor to the Timetable through Course collection or the Instructor update option of BrockDB so that Instructor access in Brightspace can be activated.

How do I access Brock systems after I start?

A: On your first day of work, you will receive a notification to your non-Brock email to activate your Brock employee account. This will give you access to Workday and other appropriate systems.

If your position requires additional system access beyond what has been provided, please have your department complete a SARF (Security Access Request Form) on the Brock Portal

I cannot access Brock systems (BrockDB, Brightspace) even after receiving a notification from Brock with my new Campus ID?

A: Go to my.brocku.ca and select “forgot your Faculty/Staff password”.

I can log into Workday, but not Brightspace or my Brock email?

A: Please contact the ITS team for assistance at [email protected], extension x4357 or in-person at the Campus Store or Computer Commons.

How do I sign my employment agreement (offer letter) and complete onboarding?

A: Both new and returning employees will receive a Workday email requesting that they sign into Workday using the non-Brock email address provided in their application (gmail, hotmail, etc.). Please follow the prompts to set a pre-hire password and to sign the offer letter. If you are having difficulty, contact Employee Services ( [email protected]) for assistance and verification that there is a non-Brock email for you in Workday.

If the start date of your contract has not yet begun, you do not yet have full Workday access. To complete onboarding, access Workday using the link that was sent to your personal, non-Brock email address in an Important Action Item email. You cannot sign in with the Workday link on the Brock website until their start date.

If your contract has begun, you will have full Workday access and are able to log in using your employee login credentials. You can go to Brocku.ca and select my.brocku.ca from the menu. In the My Work section on the left side of the page, click Workday

Once you have logged into Workday, you can click your Inbox at the top right of the page to complete any outstanding onboarding items.

I cannot access Workday to sign my offer letter or I cannot remember my Workday pre-hire password.

A: Please follow the link and click “forgot password”. You will then receive a notification to your non-Brock email that is on record in Workday. Please ensure you have a non-Brock email recorded in Workday.

If you are hired for multiple positions (i.e. TA, Marker Grader etc.), do you have to complete the onboarding steps for each position?

A: No. Once you are hired and have completed the onboarding steps, you are considered an internal employee and will not be required to complete the onboarding portal tasks again for additional positions.

However, if you transition from a contract role to an ongoing position, or to a contract with benefits, you will be required to complete additional onboarding tasks at that time.

Additionally, if you have a break in employment, you will need to complete onboarding again to confirm that your information is still accurate and up to date
