Community Assistant

This position has responsibilities to students living in Brock Suites and summer residence, as well as the Department of Residences’ staff, primarily related to residence life issues and aspects of the building’s facilities and operation. The Community Assistant is a significant information resource and serves both residents and the Department of Residences in the roles and responsibilities noted below.

Roles and responsibilities

Create a respectful community atmosphere

  • Meet the students in the building(s) as soon as possible and know them by name.
  • Help residents adjust to residence living.
  • Facilitate mediations as needed.
  • Work cooperatively with residents to maintain the rights of all residents.
  • Be available to residents on a regular basis.

Ensure that Residence Agreements are upheld

  • Have complete understanding of the Residence Agreement(s) and Residence Community Standards.
  • Respond to violations of the Residence Agreement(s), Residence Community Standards and any other Department of Residences and/or University policies, procedures or regulations in a consistent and fair manner and document these incidents within 24 hours.
  • Maintain building safety and security within reasonable individual limits by taking action (e.g. un-prop doors) and/or reporting unsafe situations to the Service Desk.
  • Report concerns or situations regarding student behaviour to a member of the Residence Life Management Team.
  • Complete rounds of the building(s) as required and report any issues.
  • Know and understand the referral procedure for students requiring assistance.
  • Understand how and when to activate support from the North Service Desk (RLMT on call/Residence Facilities on call) Campus Security Services (CSS) and other emergency response units (e.g., ambulance, fire department, regional police).
  • Assist Department of Residences, Campus Security Services, Fire Department, Police and other authorities as directed in emergency situations.

Maintain open communication and manage administrative duties

  • Communicate regularly with Department of Residences regarding incidents, challenges, issues, concerns within the building and/or its occupants (which include checking your mailbox daily and responding to email and voice mail daily).
  • Submit all paperwork (e.g., log sheets, incident reports, check ins, check outs, damage reports, etc.) in accordance with assigned timelines (which includes accurately gathering details – sometimes requires checking a situation in person – and documenting maintenance concerns.)
  • Provide educational opportunities and programming on how to manage residence living/independent living (e.g. managing heating and cooling, fire safety and personal safety). A clear understanding of the department’s Risk Management process and timelines is required.
  • Support departmental, University or contracted staff working in residence, and communicate their role to residents.
  • Be supportive of initiatives/programs conducted by departmental and campus partners by assisting with promotion and/or attendance at programs or events.
  • Assist with check in, check out for the 3 academic terms and conducting building tours as assigned.
  • Assist with promotional events such as Fall Preview Day, Spring Open House and Housing Expo.
  • Assist with SmartStart service fair as required.
  • Assist in activities over the Labour Day weekend.
  • Work with the Residence Facilities Team during transition periods and assist at Service Desks during high volume periods (e.g. check in and check out).
  • Assume full responsibility for keeping assigned keys/swipe cards safe and using them responsibly
  • Appoint fire monitors for each area and know the location of fire hoses and extinguishers.
  • Attend meetings on a scheduled basis (to be determined at start of each term).

Act as a role model of respect for self, others and the community

  • Know and observe residence, university, and city/province rules and regulations, enforce the rules of residence and respond in a fair and consistent manner when violations occur.
  • Be conscious of setting a good example for the other residents both in and outside residence buildings, ensuring that you are acting in a mature and responsible manner at all times.
  • Perform role and responsibilities in a professional manner (which includes maintaining confidentiality where necessary).
  • Respect the dignity and diversity of each resident and encourage the same from others.

Perform other duties as assigned.

Conditions of appointment

 The incumbent must:

  • Be legally eligible for employment.
  • Be enrolled as a student at Brock in the Fall/Winter term while in the position.
  • Possess a valid Standard First Aid and Level “C” CPR certificate before assuming position as well as maintaining the certification while holding the position.
  • Successfully complete all Ministry required training, including but limited to the Council of Ontario Universities Accessibility Tutorial (AODA), FIPPA, WHMIS/Health and Safety Training prior to the start of the position
  • Successfully complete any other mandated staff training (e.g. More Feet on the Ground)
  • Live in the room at assigned by the Department of Residences. The Community Assistant may be reassigned to a different room at the discretion of the Department of Residences in response to the needs of the community.
  • Have excellent communication and customer service skills
  • Be able/available to work some holidays as arranged with your supervisor (which could include Thanksgiving, December exams, Winter Break, Fall and Winter Reading Breaks, Easter, and April exams)
  • Be flexible and able to adapt to a high energy and a continually changing work environment
  • Be able to work independently with minimal supervision using written policies and procedures as guideline
  • Have experience living and working in a Post-Secondary residence setting for at least one term during the Fall/Winter academic year
  • Knowledge of Brock University residences, their facilities, Service Desks is an asset
  • Preference will be given to those with experience in roles within Residence Life, Summer Facilities, Custodial/Maintenance and/or at a Residence Service Desk.

Term of Appointment

The term of appointment is for the period of the Brock Suites Residence Agreement beginning with the day prior to the opening of the building for Spring Term until the day after the building closes in Winter Term. For 2019- it will be May 4, 2019 to April 25, 2020.
