About

OneDrive for Business (One Drive – Brock University) is an integral part of Office 365 and the SharePoint Server. It provides a place in the cloud where you can store, share, and sync your files. You can update and share your files from any device with OneDrive for Business. You can also collaborate with others on Office documents at the same time.

NOTE: OneDrive for Business is different from OneDrive – Personal, which is intended for personal storage separate from your workplace. OneDrive for Business is also different from your Office 365 team or department site, which is intended for storing team or project-related files.

The accounts are unique and not considered a good practice.  To avoid confusion, users can modify their personal Microsoft account to an alternate email address.  Instructions on how to do this can be found on Microsoft’s Use aliases to add email addresses to your account.  Otherwise, the personal account can be closed, and a new one created with a personal email account (gmail.com, hotmail.com, etc.). 

Brock does not provide support for personal OneDrive. Microsoft provides online documentation to assist users with personal OneDrive.

OneDrive can be used to store your work files that others do not need access to. If files need to be in a place where members of your team can access them, they should be stored in SharePoint.

By default, everything in your OneDrive account is only visible to you. However, you can choose to share specific files or folders with others, and send them links to those files or folders instead of sending attachments.

OneDrive works with Microsoft Office, so you can save Office documents directly to your OneDrive, and not worry about downloading/uploading multiple working copies.

OneDrive for Business is a place where you can store files from your computer into the cloud, and access them from any device, or share them with others. As part of Office 365 or SharePoint Server, OneDrive for Business lets you update and share your files from anywhere and work on Office documents with others at the same time.

A SharePoint site is a place that users can collaborate on files, documents, and ideas. It is set up to facilitate two way communication between team members. SharePoint offers a full range of document libraries, task lists, calendars, workflows, wikis, and other features to help a team communicate and collaborate.

With both OneDrive for Business and a SharePoint site, your files are stored in the cloud. You can sync either OneDrive for Business or SharePoint to your computer.

It’s tempting to save all your documents to OneDrive for Business. The link to your OneDrive for Business library is always sitting there at the top of the page, ready for you to upload or create a document from OneDrive for Business. However you need to think about who can and can’t access the documents you save to OneDrive for Business. If a document is a collaborative effort related to a project, then saving to a SharePoint site might be a better choice. 

No. OneDrive for Business cannot be synced to a network or removable drive. Also, do not sync your OneDrive for Business to the same location as your personal OneDrive.

They are not syncing because they do not belong to you. Only files that you created/uploaded to your OneDrive for Business account will be synced with another device. 

Consider selective syncing your folders – meaning instead of syncing all of your OneDrive folders to your computer’s hard drive, sync only the folders and files you are actively using and allow the remainder to live solely online (in the cloud). When you sync your OneDrive folders to your computer all folders/files on your OneDrive will be synced to your computer. This may take up a lot of hard drive space.

If you selective sync your OneDrive folders you will be able to choose which folders/files you want synced to your computer. This allows you to keep unneeded folders/files off of your hard drive, while still having a saved copy in the OneDrive cloud. Using selective sync will clear up space on your hard drive.

1. Install the Windows version of the OneDrive sync client.

2. Start OneDrive Setup.

METHOD 1: IF YOU HAVE NO ACCOUNTS SIGNED IN TO ONEDRIVE

 

3. Select the Start button, search for OneDrive, and then open it.

4. When OneDrive Setup starts, enter your Brock CampusID, and then select Sign in to set up your account.

METHOD 2: IF YOU ALREADY HAVE A PERSONAL ACCOUNT SIGNED IN TO ONEDRIVE

If you already have a personal account signed in to OneDrive, you’ll want to use OneDrive Settings to add your Brock account.

1. In the taskbar navigation area, right-click the white OneDrive cloud icon and select Settings.

When OneDrive Setup starts, enter your Brock CampusID, and then select Sign in to set up your account.

KEY POINTS IN ONEDRIVE SETUP

There are two screens in OneDrive Setup that are helpful to watch for:

  • On the This is your OneDrive folder screen, select Next to accept the default folder location for your OneDrive files. If you want to change the folder location, select Change location – this is the best time to make this change.this is your OneDrive screen
  • On the Sync files from your OneDrive screen, choose the folders you want to sync and select Next. This helps control the amount of space OneDrive files take on your computer and conserves bandwidth during sync processes. You can change this later in Settings.sync files to OneDrive

ENJOY ONEDRIVE FOR BUSINESS

Your OneDrive for Business files will also appear in File Explorer window in the OneDrive – Brock University folder.

You now have a new blue cloud icon in your notification area and your work files are synced to your computer. Your blue cloud icon will appear as OneDrive – Brock University when you hover over the icon.

Any time you want to change the work or school folders you sync on your computer, right-click that blue cloud icon in the taskbar notification area, and select Settings > Account > Choose folders. Find other information about your account and change other OneDrive settings from here.

1. Install OneDrive for Mac.

2. Start OneDrive Setup.

METHOD 1: IF YOU HAVE NO ACCOUNTS SIGNED IN TO ONEDRIVE

If you’re not signed in to OneDrive with any account, start OneDrive to connect your Brock account.

1. Launch a spotlight search and search for OneDrive. Select ENTER to launch the application.

2. Enter your Brock CampusID and then select Sign in to set up your account.

METHOD 2: IF YOU ALREADY HAVE A PERSONAL ACCOUNT SIGNED IN TO ONEDRIVE

If you already have a personal account signed in to OneDrive, you’ll want to add your Brock account in OneDrive Preferences.

1. Click the OneDrive cloud icon up in your Menu bar and select Preferences .

2. Click the Account tab and in the new Add Account group, select Add a Business Account to start OneDrive Setup.

3. Enter your Brock CampusID and click Sign in.

KEY PARTS OF ONEDRIVE SETUP

There are a few points of OneDrive Setup that are helpful to watch for:

  • On the This is your OneDrive folder screen, click Choose OneDrive Folder Location.this is your OneDrive screen

Select a location where you would like to save your OneDrive files and click Choose this location.

When you see the This is your OneDrive folder screen, you’ll now see a path to the folder you selected. Click Next to continue.

  • On the Sync Files from Your OneDrive screen, you can choose the folders you want to sync to your computer, and click Next. This conserves space on your computer, and reduces bandwidth needed for the sync processes.
  • When you see Your OneDrive Is Ready for You, the last thing to do is make sure you select Open at login so my files sync automatically. This will ensure that OneDrive runs at login and you always have the most up to date version of all your files.open onedrive

After you enable OneDrive to open at login, you’re done! Click Open your OneDrive folder to see your files sync to your folder.

You can find OneDrive up in your Menu bar. You’ll have a cloud icon for every account you’ve connected to OneDrive. So you’ll have one cloud if you’re only syncing a work or school account, one cloud if you’re syncing only a personal account, or two clouds if you’re syncing both.

You’ll also see a folder in Finder called OneDrive – Brock University.

TURN ON FINDER INTEGRATION

If you’re on OSX 10.10 or higher, get sync status directly from Finder by enabling Finder overlays in Settings.

First, click the Apple logo in the top left corner of your Mac Desktop and select System Preferences, then select Extensions in the top-level menu (shown in the 3rd row from the top).

Toggle on the OneDrive Finder Integration to enable Finder overlays.

You’re all set. Open up your OneDrive folder in Finder to see overlays on your files and folders.

If you don’t want to sync all of your folders in OneDrive to your computer (or you just want to save space on your hard drive), you can specify which folders you’d like to sync.

 

1. Open the Sync your OneDrive files to this PC dialog box using one of these methods:

  • In File Explorer, right-click a folder in OneDrive or OneDrive for Business, and select Choose OneDrive folders to sync.

  • Right-click the blue OneDrive – Brock University icon in the notification area on your taskbar, select Settings, select the Account tab, and select Choose folders.settings

2. In the Sync your OneDrive files to this PC dialog box, uncheck any folders you don’t want to sync to your computer and select OK.

  • If you uncheck a folder you are syncing to your computer, the folder will be removed from your computer. The folder and its contents will still be available online.
  • The sync settings you choose are unique to each computer unless you’re syncing everything everywhere.

1. Click the cloud icon from your desktop toolbar to reveal the OneDrive dropdown menu.

2. In the blue bar at the top of the OneDrive dropdown menu, select the gear.

3. Select Preferences… > Account.

4. The locations your are syncing to will be displayed. Beside OneDrive > Brock University select Choose Folders.

5. Click the checkbox beside the folders you want to sync. Uncheck the checkbox beside folders you don’t want to sync.

6. Click OK to save your changes.
