Document and Transcript Submission

Secondary school students currently studying the Ontario Secondary School curriculum apply to Brock through the OUAC application and in most cases, your school will supply OUAC with your grades and OUAC will provide them to Brock. There may be exceptions where you may be required to submit grades to us directly. This is usually only the case where you are attending summer school after June.

All other applicants will be prompted on their my.brocku.ca student portal to submit transcripts for all completed and in-progress studies, so we can assess your application for an offer. Documents you provide to Admissions are considered “unofficial”, but they will allow us to get started on your application!

The sooner you submit your documents, the sooner you will receive a decision and any potential transfer credit(s).

We will always require FINAL OFFICIAL grades to ensure you met the conditions of your offer. The deadline to submit documents will be stated in your offer letter.

All academic and academic-related documents received become the property of Brock University. The university will not return documents, nor will it provide photocopies.

What is an official document?

If you accept an offer of admission based on unofficial documents, you must arrange to have final official academic documents/transcripts sent from each secondary school, college, university or proper issuing authority directly to Brock University, Undergraduate Admissions. 

  • These documents may never be in your possession and cannot be uploaded using your applicant portal. All official documents must be submitted in order to begin studies, this includes all paper, electronic, and digital (e.g. MyCreds) versions of your transcript.

How will Brock accept official documents?

  • Electronic documents directly from the issuing institution are acceptable and can be emailed to [email protected]
  • Official Documents can be mailed to:  Brock University Office of the Registrar and Enrolment Services- Undergraduate Admissions, 1812 Sir Isaac Brock Way, St. Catharines, ON L2S 3A1 

What is an unofficial document?

Unofficial documents are documents in your possession that were issued by the awarding institution or body. These documents must be uploaded directly to your my.brocku.ca student portal.

  • Examples of unofficial documents; screenshot of your final grades, a scanned photocopy of your transcript, a screenshot of your current course registration, a picture of your previous certificate/diploma/degree etc.

How to Submit Your Documents

  • Log into your my.brocku.ca student portal and check the Document Status window for any documents the Admissions Office requires.

  • Unofficial documents may be sufficient in order to receive a decision on your application but an official version of the documents will be required to complete your file.
  • When uploading unofficial documents, ensure your full name and the institution name are legible on the documents, or they will not be accepted.
  • Check your my.brocku.ca student portal regularly for any additional document requests by Admissions.
  • If you require additional space on your my.brocku.ca portal to upload additional documents, e-mail [email protected] to request space to do so.

Transcript and Document Translations

If you are submitting a document or transcript that is not in English, you must also submit an English translation.

Original translations will be accepted from one of the following:

  • the consulate, high commission or embassy to Canada of the country where the documents were issued;
  • a Canadian embassy, consulate, high commission in the country from which you emigrated;
  • a translator accredited by a professional association of translators in Canada. To obtain the name of an accredited translator contact the Association of Translators and Interpreters of Ontario (ATIO) at 1-800-234-5030 OR 613-241-2846 (email: [email protected]; web site: atio.on.ca);
  • a translator who has received accreditation through a federal, provincial or municipal government in Canada;
  • If the ATIO is unable to provide a translator for the language you require, you may contact COSTI-IIAS Immigrant Services at 416-651-1496, or email [email protected].

The translator must include a photocopy of the original document(s) from which the translation was prepared, as well as an original statement indicating:

  • that the translation is accurate and authentic;
  • that the translator belongs to one of the categories listed above (identification number and/or seal, name, address, and telephone number required);
  • printed name and signature of the translator.

Note: Ontario universities may require international undergraduate applicants to have official academic transcripts submitted directly to World Education Services (WES) Canada for verification as part of the admission process. Universities will notify applicants about specific submission requirements through WES Canada. While Brock University does not require applicants to submit documents through WES Canada, we will accept and consider official any authenticated and verified documents received directly from them.

Note: Brock University reserves the right to withdraw the final offer of admission or revoke registration if there is a discrepancy between documents originally submitted and the official, final documents/transcripts submitted to Brock either directly or via WES Canada.
