Reserve Collection Policy
(For use by Brock Faculty Only)
About the Reserve Collection
The Reserve Collection is comprised of high demand materials selected by instructors to support current courses and other heavily used items on short-term loan. The use of library reserve must not substitute for the purchase of books, course packs or other published materials.
To place a new or additional title on Reserve, you must complete an online Reserve List Request Form. If you do not want to complete this form online, you can click here to retrieve the PDF version and print. Then complete the appropriate form and submit to the Circulation Services Desk.
All photocopied materials must be supplied to the Circulation Services Desk for processing. Please ensure that your copying adheres to the provisions outlined in the Fair Dealing Policy, the Access Copyright Licence or other online licences.
Time Required to Fill Requests
Material is processed in order of receipt. To guarantee that requested material is ready for the start of classes, please use the following submission deadline dates as guidelines:
- Courses that begin in September: submit by August 1
- Courses that begin in January: submit by November 22
- Courses that begin in May: submit by April 15
- Courses that begin in July: submit by June 15
- Material to be purchased is exempt from the above guarantee.
Whenever the full text of a required journal article or book is available through a library database and the license allows, access will be provided through the Reserve Course Listings in the Library’s online catalogue. We will provide you with the correctly constructed persistent link to add to Sakai.
PLEASE NOTE: If you do not use the link provided by the Library, students will not be able to access the item remotely.
Photocopies of Journal Articles for Reserves
Entire copies of periodicals in their original form are not placed in the Reserve Collection, but the Library will accept copyright-compliant photocopies of individual articles for reserve. Contact Library Copying and Printing Services at ext. 3263 for information regarding obtaining copies of articles from journals in the James A. Gibson Library. Please be sure to indicate on the Reserve Request List Form that the article should be forwarded to the Circulation Services Desk from the Library Copying and Printing Services Office.
When the Library does not have the required material, you may place copyright-compliant personal copies on Reserve. Submit the number of copies, along with a completed Reserve List Request Form. Each book, copy of an article, or chapter of a work must be accompanied by full bibliographic information. For example, chapters should include chapter author, chapter title, chapter pages, book author/editor, book title, edition (if necessary), publication year, and publisher. If you know that an article or book is available electronically, indicate the source, either on the item itself, or on the online Reserve List Request Form. Please note that the Library will not accept responsibility for personal materials in the event of damage or loss.
Library books placed in the Reserve Collection must always be accompanied by a new and completed Reserve Request List Form at the beginning of each session. All requests of library books for Reserve must include full bibliographic information, along with the call number. On the form, please include the edition and number of copies with the call number, and any books that are currently on order.
Ordering Books for Reserve
To order a book for the Library, submit a separate order to Collections Services via the New Acquisitions Request Form. Since ordering new material can take time, please order well in advance of the beginning of term. Indicate "RUSH for Reserve" and the course number on the New Acquisitions Request Form. Note on the Reserve List Request Form that the book is "on order".
Please be sure to include the bibliographic citation on any materials that are placed in the Reserve Collection.
You may choose to have your items on reserve for one or more of the following Reserve loan periods. If you choose to vary the Reserve loan periods, please indicate your preference in the Special Instructions box on the Reserve List Request Form, eg. 1st copy: 3-hour, 2nd copy: 1-day.
Three-hour Reserve - items may be borrowed anytime during the day for three-hour periods up until 4 hours prior to closing. All material is due 1 hour prior to closing. Three-hour reserve material may be signed out for overnight use one hour prior to closing and is due back one hour after the Library opens.
One-day or Two-day Reserve - items may be borrowed anytime during the day and are due back within 24 hours in the case of one-day, or in the case of two-day, within 48 hours after borrowing.
Removal of Reserves
Unless there is a request to retain the materials in the Reserve Collection for the course offering the next semester, personal materials will be returned to you, library books will be returned to the library stacks and persistent links to e-resources will be removed at the end of each session. Material which has had no use may be withdrawn from the Reserve Collection and returned to the stacks or to the instructor.
