Photography and Filming Policy
Visitors are welcome to take a few photographs for their personal use using hand-held cameras (not video) without formal authorization providing staff and users are not photographed or inconvenienced in any way. All other photography or filming requests must be approved by the Learning Commons Manager (for Learning Commons) or the Associate University Librarian, Services (for upper library floors) and adhere to the guidelines and procedures listed below. Photography or filming for commercial, news media purposes or class assignments must receive prior approval.
 

Guidelines
Use of photographic or film equipment within all areas of the Matheson Learning Commons or James A. Gibson Library:
1.    Must not interfere with the study, research, privacy, or safety needs of users;
2.    Is restricted in silent study areas, and may be restricted in quiet study areas;
3.    Must not violate any other policies, rules, or regulations;
4.    Must not hinder access to exits, stairways, corridors, doorways, and other areas;
5.    Is restricted during midterms or final examination periods;
6.    Must have a staff member present if filming when the facility is closed.
Those who make extensive use of photographic or film equipment, use lights or tripods, or shift furniture or materials, must also:
1.    Schedule the project for a period of low usage;
2.    Minimize disturbance to staff and users;
3.    Not ask any user to move;
4.    Minimize re-arrangement of furniture or materials, return any furniture used to its original location, and place materials in designated locations for reshelving;
5.    Keep in mind that staff members are not to be photographed when working;
6.    Obtain a signed consent form from anyone being photographed. Consent forms are available from the Office of University Communications and Marketing.
 

Procedures
Individuals or groups who wish to photograph or film within the Library must:
1.    Complete the Photography Request Form (available online) as far in advance of the requested time as possible;
2.    Receive a copy of the approved and signed request form;
3.    Be prepared to present the approved request form to staff upon request at any time in which photography/filming is occuring;
4.    Obtain prior consent of any individual who is to be the subject of the photography/filming;
 

Right to Terminate
We reserve the right to terminate any photography or filming immediately that causes an undue disturbance, violates policies or regulations, or endangers the health and safety of participants, users, and staff.
